Treamer Finland Oy (”we”, ”our” or ”us”) is committed to ensuring the confidentiality and data protection of the personal data in its possession. This privacy policy applies to personal data that we collect in relation to our human resource management register (the “Register”). The personal data and related processing are described in this privacy policy. We may update this privacy policy from time to time, for example due to changes in applicable legislation. We aim to provide reasonable means to inform you of any possible changes and their effects in due time beforehand. Whose Personal Data Do We Collect?

We process in the Register the personal data of persons who have a proper connection with us as our current or former employee (“you”). What Categories of Your Personal Data Do We Process? We process your following personal and contact information in the Register, as well as your personal data relating to your employment relationship:

  • your name and social security number;
  • your contact information: phone number, address and e-mail address;
  • your photo;
  • your bank account; and
  • information on your sick leave (medical certificates).

 

Which Sources Do We Use to Collect Your Personal Data?

We collect your personal data primarily from you. During our employment relationship, we may collect your personal data from our HR and payroll administration. Grounds, Purposes and Impacts of the Processing of Your Personal Data The purpose of the processing of your personal data is the up-to-date management of your personal and other employment relationship data in order to manage our rights and obligations as an employer. As a result of the processing of your personal data, we may maintain your employment relationship.

The processing of the social security number is based on the fulfilment of our obligations and benefits related to the employment relationship.

 

Is Your Personal Data Transferred and Disclosed to Third Parties?

We disclose your personal data only to Statistics Finland, competent tax authorities, pension insurance companies and operators providing healthcare services to our Company to the extent required by law.

We may transfer your personal data to parties offering payroll services and audit services or other services for the processing conducted on our behalf in order to fulfil the purpose of processing of your personal data. A list of our current business partners shall be provided on request.

 

Is Your Personal Data Transferred Outside the European Union and the European Economic Area?

In all cases, we shall only transfer your personal data outside the European Union (the ”EU”) or the European Economic Area (the ”EEA) on any of the following legitimate grounds:

  • the EU Commission has decided that the recipient country in question ensures an adequate level of protection;
  • we have established appropriate safeguards for the transfer of your personal data by using the standard data protection clauses approved by the Commission. You shall then have the right to obtain a copy of such standard clauses by contacting us in the manner described in this privacy policy;
  • you have given us your explicit consent for the transfer of your personal data;
  • or another lawful basis for the transfer of your personal data outside the EU or EEA exists.

We shall provide information on our current service providers outside the EU or EAA on request.

 

How Long Is Your Personal Data Retained?

We retain your personal data in the Register during of your employment relationship and after its termination as required by law.

Data necessary for issuing a certificate of employment shall be retained for ten (10) years following the termination of your employment relationship. The personal data necessary for issuing a certificate of employment describing our employees’ work skills and behaviour shall be retained for five (5) years.

Upon the termination of your employment relationship, we erase other data than the data retained on legal grounds.

 

What Are Your Rights as a Data Subject?

You have the right to, according to applicable data protection legislation, at any time:

  • be informed about the processing of your personal data;
  • obtain access to your data and review your personal data that we process;
  • require rectification and completion or erasure of your inaccurate and incorrect personal data;
  • require the deletion of your personal data;
  • receive your personal data in a machine-readable format and transmit such data to another controller provided that you have yourself delivered such data to us, we process such personal data based on an agreement and the processing of your personal data is carried out by automated means; and
  • require restriction of processing of your personal data.

You should present your request for exercising any of your above-mentioned rights in the manner described below under Section on How Can You Contact Us. We may ask you to specify your request in writing and verify your identity before processing your request. We may refuse to fulfil your request on grounds set out in applicable data protection legislation.

You have also always the right to lodge a complaint with the proper supervisory authority or with the supervisory authority of the EU member state of your habitual residence or place of work if you consider that we have not processed your personal data in accordance with applicable data protection legislation.

 

How Is Your Personal Data Protected?

We respect the confidentiality of your personal data. Tangible material containing your personal data shall be kept under lock and key in a space to which only separately appointed persons have access. Your personal data processed digitally are protected and stored in our information system accessible to persons on a need-to-know basis only. Such persons have personal user credentials and passwords. We encrypt your personal data transmitted outside.
